Organization Client Portal User Guide

Organization Client Portal User Guide / Users / Update by Import

Update by Import

Importing Excel or CSV files allows you to edit your organization’s user data. In a single operation, you can add, edit, remove and delete accounts. You can also edit users’ roles and their access to Antidote.

The update by import is only offered with Antidote Web or Antidote Pro and is reserved for administrators and technicians.

Important — Synchronized accounts cannot be edited by importing data.

General Procedure

  1. Export the list of users.
  2. Edit the information in the exported file.
  3. Import the updated file.

If an email address or unique identifier is already linked to a user in the organization, the newly imported data will replace the data previously saved in the Organization Client Portal.

Editing Data

When updating the data in the file, make sure not to change the headings; the system uses the name of each column to determine what type of content the cells holds. You can still change the order of the columns. You can find information about editing each column below.

Notes
— It is not possible to change groups or roles in Antidote through importation.
— For any personal accounts included in the list, the only changes applied will be those made to the following columns: Role, Subscription to Antidote Web, Subscription to Antidote Pro, Access to the applications and Remove?.

  • Unique identifier (optional) — A unique identifier must consist of alphanumeric characters. Enter none in the cell to remove a unique identifier.

  • First Name — This field must consist of alphanumeric characters (50 maximum).

  • Last Name — This field must consist of alphanumeric characters (50 maximum).

  • Email — This field must consist of alphanumeric characters (100 maximum) in the form of a valid email address.

  • Subscription to Antidote Web — If your organization has an Antidote Web subscription, use this field to grant users access according to the following specifications:

    Antidote Web — Bilingual bilingual

    Enter none to remove access.
If you leave the cell empty or enter an invalid value, no change will apply.

    Subscription type Value to enter
    Antidote Pro — English english

    Enter none to remove access.
If you leave the cell empty, Antidote access will stay the same. You can still edit the access to the applications in the subsequent column.

  • Access to the applications — This field is used to designate which applications users have access to according to the following specifications:

    Applications Value to enter

    Antidote Web Antidote Web
Antidote 12 and Antidote Web Antidote Web & Antidote 12

If you fill out the previous column to grant Antidote Pro access but leave this cell empty, access to both applications will be granted by default. No changes will be made to previously granted Antidote access.

  • Language — This field is used to define a user’s language of correspondence according to the following specifications: en for English or fr for French. If the cell is left empty, the language will be set by default to that chosen by the person responsible for the organization.

  • Role — This field is used to define which role in the organization a user is assigned according to the following specifications: administrator, technician, supervisor or user. If the cell is left empty, the default value user will be assigned.

  • Groups — This field is used to add the user to one or more groups. If you enter the name of a group that does not exist in the system, a new group will be created. The name of a group can contain a maximum of 200 alphanumeric characters. To add a user to multiple groups, list the groups using a comma as a seperator. If the name of a group includes a comma, add a backslash (“\”) in front of this comma (The white, red and blue => The white\, red and blue).

  • Remove? — Enter yes to remove the account from the organization. The account will not be deleted. Leave this cell empty or enter no to keep it as is.

  • Delete? — Enter yes to delete the account. If it is an organization account, it will be permanently deleted. If it is a personal account, it will simply be removed from the organization. Leave this cell empty or enter no to keep it as is.

Need to Perform a Bulk Reassignment or Removal of Access to Antidote?

This might be the case if organizations wish to reduce the number of users with access when renewing their subscription. Or, in the case of educational institutions, student access may need to be updated at the start of a new semester. See this three-step procedure to learn how to carry this out.
